The mistake we made

So business owners ask us the same question every week: which one should we use?

Here's our honest answer. It's probably the wrong question. And we learned that the hard way.

When we started adding AI to our own apps, we picked one model and built everything around it. Its quirks, its pricing, its way of formatting answers. Then a better model came out. Then prices changed. Then a feature we relied on behaved differently after an update.

We had welded our product to one vendor. Unwinding that took longer than building it.

That's the lesson we bring to every client now: don't marry a model. Build so you can switch.

A quick, fair comparison

These tools change monthly, so treat this as a snapshot, not scripture.

  • Claude (Anthropic): strong at long documents, careful writing and following detailed instructions. Many teams like it for contracts, policies, support replies and code.
  • Gemini (Google): deeply tied to Google Workspace, Search and Android. A natural fit if your team already lives in Gmail, Docs and Drive.
  • ChatGPT (OpenAI): the broadest consumer brand and a huge ecosystem of plugins and add-ons. Good all-rounder; your staff likely already use it.
  • Copilot (Microsoft): best if you're all-in on Microsoft 365 and Teams. Less about the model, more about where it sits.

Every one of them can do impressive demos. That's the trap.

Demos are easy. Your Tuesday is hard.

A chatbot that answers trivia is not a business tool. A business tool has to know your price list, your forms, your policies and your exceptions. It has to work at 4:55 p.m. on a Friday when a customer is upset. It has to keep private data private.

That work has little to do with which logo is on the model. It's about:

  • Your data: clean, current and connected, so answers are right.
  • Privacy: what leaves your building and what never should. In Canada that means PIPEDA, and in Québec, Law 25.
  • Guardrails: what the AI may say, and when it must hand off to a human.
  • Swappability: a layer between your app and the model, so you can change providers without a rebuild.

What we'd tell you over coffee

If you're a small team, start with the tool your staff already use. Learn what works before you build anything.

If you're ready to put AI into a product or a workflow, build model-agnostic from day one. Test two or three models on your real tasks, with your real data, and let results pick the winner. Then keep testing, because the winner will change.

For some tasks, yes, such as long documents and careful writing. For others, no. Test both on your own work. The best choice depends on the task, not the brand.

Is it safe to put company data into AI tools?

It can be, with the right business plan, settings and contracts. Consumer accounts often have weaker data terms. Check before you paste anything sensitive.

Can we switch AI providers later?

Only if you plan for it. We build a layer between your software and the model so a switch is a setting, not a rebuild.

Does Canadian privacy law apply to AI?

Yes. PIPEDA applies across Canada, and Québec's Law 25 adds stricter rules. Your AI tools must follow both.
